Data Mapping

Data mapping is the process of defining which field in one system corresponds to which field in another, including format rules for the handoff.

In marketing automation, mapping decisions determine whether a lead's job title, lifecycle stage, or consent status arrives intact when it moves from a form tool to a CRM to an email platform.

A practical example

Example: a webinar tool stores 'Company Size' as free text ('about 50 people'), while your CRM expects a picklist value like '11-50'.

A mapping rule must translate one into the other or the field lands blank.

What to evaluate before investing

  • Ask whether mapping is configured visually per integration or requires custom code or scripts.
  • Test how the tool handles unmapped fields: are they dropped, logged, or flagged for review?
  • Confirm whether mappings can be versioned and changed without breaking live workflows.

Limitations and tradeoffs

Tradeoff: flexible mapping tools demand more setup discipline, while rigid presets break the moment your schema differs from the vendor's assumptions.
