Data Archiving

Data archiving is the policy-driven move of inactive records — dormant contacts, closed-lost opportunities, expired campaign history — out of the production CRM into long-term retention, where they remain retrievable but no longer clutter active workflows.

It differs from deletion, which destroys the record, and from tiered storage pricing, which is a cost mechanic rather than a policy.

Archiving ties together CRM performance, email hygiene and privacy erasure obligations such as the GDPR right to erasure.

A practical example

Example: a team with 900,000 contacts, of which 400,000 have had no activity in three years, archives the dormant segment to a separate store, keeps a reactivation path, and can locate and erase a person's data on request without touching active records.

What to evaluate before investing

  • Can archived records be restored individually or in segments back into the CRM when a dormant contact re-engages?
  • Does the archive support targeted search and erasure of a specific person's data to answer privacy requests?
  • Is retention duration configurable per record type, since contact, opportunity and consent data may have different rules?

Limitations and tradeoffs

Archived data still carries privacy obligations and storage cost, and over-archiving can strip context that scoring or reporting needs. Define retention periods and erasure procedures before moving anything, not after.
