Data Duplication

Data duplication is the existence of redundant copies of the same records across multiple systems.

When a contact lives in the CRM, the marketing automation platform and the warehouse, each copy updates on its own schedule and by its own rules.

This differs from deduplication logic, which resolves duplicates inside one system. Duplication across tools is structural: any synced stack will have it.

A practical example

Example: a contact changes their job title in the CRM on Monday, but the automation platform only refreshes nightly.

A Wednesday email segment still uses the old title, and the warehouse shows a third version until the next sync lands.

What to evaluate before investing

  • Map which system is the source of truth for each field and how conflicts are resolved.
  • Measure sync lag per connector and ask vendors how partial failures are retried.
  • Audit how many places store contact records and whether deletes propagate everywhere.

Limitations and tradeoffs

Tradeoff: eliminating duplication entirely would mean one monolithic system, which most teams reject for good reasons. The realistic goal is controlled duplication with clear ownership and monitored lag, not zero copies.
