Lead Capture Routing Rule

A lead capture routing rule specifies how an accepted inquiry enters the operational handoff. It checks the capture channel, required fields, duplicate status and intended owner before dispatch.

Unlike general territory allocation, this rule focuses on the boundary between a submitted form or chat and a recorded, assigned lead, including delivery failures.

A practical example

Example: a pricing-page form routes to the inbound rep on duty; the rule specifies that if that queue is unstaffed for 24 hours, submissions divert to a shared inbox and alert the marketing ops lead, so nothing sits unrouted.

What to evaluate before investing

  • Ask whether the rule documents a fallback target and alert for every primary owner, not just the happy path.
  • Confirm routing targets are validated against current CRM users and queues, so rules pointing to departed owners are caught.
  • Check whether failure events—bounced routing, rejected submissions—are logged and reviewed, rather than discovered by missing leads.

Limitations and tradeoffs

Routing rules depend on upstream data quality; if a form misreads a field used for routing, such as country, leads follow the wrong path, so the rule needs periodic testing with realistic submissions.
