Customer Lifecycle Mapping

Customer lifecycle mapping is the practice of documenting each stage a customer moves through — from closed-won through onboarding, adoption, expansion and renewal — and defining the entry criteria, owner and system of record for each stage.

In B2B, the output is usually a stage model that marketing automation, CRM and customer success tools must all interpret consistently.

A practical example

Example: a SaaS vendor defines five stages and specifies that a customer enters 'Adoption' only after two key users complete activation events, with the CS platform as the source of truth for that transition.

What to evaluate before investing

  • Ask each vendor how it represents custom lifecycle stages and whether stage definitions can differ per segment or product line.
  • Verify whether stage transitions can be triggered by product usage events, not only manual status changes in the CRM.
  • Check how stage history is logged so you can audit when and why a customer moved between stages.

Limitations and tradeoffs

A lifecycle model is only as good as the data feeding it; unmapped edge cases like paused contracts or acquisitions often break stage logic and require manual overrides.
