Polling

Polling is a data retrieval method where an integration repeatedly asks a source system for updates at fixed intervals, rather than receiving pushed events.

It is simpler to set up and works with any API that supports reads, but data freshness depends on the interval, and frequent polling can consume rate limits quickly.

A practical example

Example: a connector that polls your CRM every 15 minutes will only trigger a lead-routing workflow up to 15 minutes after the record changes, regardless of how fast the rest of the pipeline runs.

What to evaluate before investing

  • Ask what polling interval each connector uses and whether it is configurable per workflow.
  • Check whether the vendor deduplicates records so repeated polls do not create duplicate triggers.
  • Estimate how polling frequency interacts with the source system's rate limits during peak hours.

Limitations and tradeoffs

Polling trades immediacy for simplicity; near-instant reactions to events generally require webhooks instead.
