Master Data Management (MDM)

Master Data Management (MDM) is the discipline and tooling for creating and maintaining a governed 'golden record' for each business entity, such as a company or contact, across all connected systems.

MDM goes beyond an SSOT: it includes matching rules, survivorship logic (which field value wins), stewardship workflows and hierarchy management for parent-subsidiary structures.

A practical example

Example: the same company appears in your CRM as 'Acme Corp', in your marketing platform as 'Acme Corporation Ltd' and in your warehouse as 'ACME'.

An MDM process matches all three, merges them into one golden record with a surviving name and industry, and pushes the reconciled version back to every system.

What to evaluate before investing

  • Ask how the vendor handles survivorship: can you configure which source wins per field, not just per record?
  • Check whether account hierarchies (parent, subsidiary, division) are modeled natively or require custom objects.
  • Verify stewardship tooling: can a data steward review, split or unmerge records with a full change history?

Limitations and tradeoffs

MDM programs demand ongoing data stewardship and clean-up effort; the software alone does not fix years of inconsistent data entry.
