Transformation Rules (Integrations)

Transformation rules are configuration logic that changes data values as they pass between systems, beyond simple field-to-field mapping.

Typical operations include concatenating fields, reformatting dates or phone numbers, splitting full names, applying conditional defaults, and normalizing values like country names or status labels.

A practical example

Example: when a lead syncs from a form tool to the CRM, a transformation rule converts "US" and "USA" into the ISO code "US" and combines first and last name fields into a single "Full Name" value.

What to evaluate before investing

  • Verify the rule builder supports conditions and fallback values, not just one-to-one changes.
  • Test how transformations handle nulls, unexpected formats, and multi-select fields.
  • Check whether you can preview transformed output before saving the rule.

Limitations and tradeoffs

Tradeoff: heavy transformation logic inside an integration tool can become hard to audit and debug, so teams with complex needs often prefer documenting rules in a shared place.
