Content Workflow

A content workflow is the defined sequence of stages a piece of content passes through—idea, brief, draft, review, approval, publication, and update—along with who owns each stage and what gates move work forward.

It is the operational layer inside content operations, focused on the path of individual pieces rather than the whole function.

A practical example

Example: a SaaS team sets a four-stage workflow (draft, subject-matter review, brand review, publish) with a 48-hour review SLA, so writers know exactly where each article is stalled and who to nudge.

What to evaluate before investing

  • Check whether stages and approval rules are configurable per content type, not locked to one fixed pipeline.
  • Ask if the tool shows status, assignees, and aging per item so bottlenecks are visible without meetings.
  • Confirm it supports revision tracking and comments in context, avoiding review cycles scattered across email and chat.

Limitations and tradeoffs

Too many stages or reviewers can create queues without improving quality. Give each review a clear purpose and remove approvals that repeat an earlier check; measure turnaround before adding more gates.
