Lead Capture Workflow

A lead capture workflow is the end-to-end lifecycle every capture mechanism passes through: intake request, build, QA gate, launch, monitoring, and retirement, with a named owner at each stage.

It treats forms, chat, and widgets as governed assets rather than ad hoc creations anyone can publish.

A practical example

Example: a regional team requests a webinar registration form.

The request enters intake, marketing ops assigns a builder, QA validates routing and consent language, the form launches with a review date, and it is scheduled for retirement after the webinar series ends.

What to evaluate before investing

  • Does the tool or process log intake requests with requester, offer, and target launch date?
  • Can you assign stage owners so no surface sits in build or QA without an accountable person?
  • Is there a retirement step with a review date, or do surfaces launch with no end-of-life plan?

Limitations and tradeoffs

The tradeoff is speed: a governed lifecycle adds approval time, and teams under launch pressure may route around it unless leadership enforces the intake step consistently.
