Demand Capture Workflow

A demand capture workflow is the defined asset-level lifecycle for capture assets: request, build, quality assurance, launch, audit, and retirement, with a named owner at each step.

It is an internal process label, not a vendor feature. Campaign planning governs the campaign as a whole; this workflow governs each individual asset within it.

The goal is control over volume and consistency when multiple teams create capture forms, landing pages, and offers ad hoc.

A practical example

Label: a content team requests a new checklist capture asset.

The workflow routes the request to marketing ops for build, requires QA against the UTM contract and segment policy before launch, and schedules an audit date.

Six months later, retirement is a checklist step, not an accident.

What to evaluate before investing

  • Ask whether asset requests enter a queue with SLAs, or arrive as ad hoc messages to ops.
  • Confirm QA includes checks against your tracking and eligibility policies, not just visual review.
  • Check whether retirement is enforced, such as forms auto-closing at their audit date, or depends on someone remembering.

Limitations and tradeoffs

A formal workflow adds approval time to every asset; teams under deadline pressure will bypass it unless the fast path for urgent assets is defined too.
