Contact Workflow

A Contact Workflow is an automated multi-step process operating on an individual contact record, covering more than messaging: re-engagement sequences, responses to job or role changes, bounce and suppression handling, and data-maintenance steps like field updates or task creation.

Account workflows orchestrate plays across a whole account and drip campaigns only send content; contact workflows handle the cases neither can — a champion who changes companies, a contact whose role shifts, an address that hard-bounces.

The buying decision is scoping: which contact events justify a workflow versus manual handling.

A practical example

Example: when a contact's job title changes to a new company, a workflow pauses their sequences, creates a task for the account owner to confirm the move, and flags the old record for recycling.

What to evaluate before investing

  • Ask whether workflows can trigger on field-change events, not only form fills and email clicks.
  • Verify workflows can mix actions — pause sequences, create CRM tasks, update fields — in one flow.
  • Check whether cross-object steps, like notifying the account owner, are supported natively.

Limitations and tradeoffs

Contact workflows operate on incomplete data; a job-change trigger fires only if the change is actually captured, so workflow value depends heavily on upstream enrichment and sync quality.
