Contract Renewal Automation

Contract renewal automation uses CRM data and workflow rules to drive the renewal process: detecting upcoming expiry dates, creating renewal opportunities, notifying owners on a schedule, generating renewal documents and escalating stalled renewals.

It is narrower than full contract management; the focus is the recurring event, not drafting and negotiation.

Its reliability depends entirely on data quality, if renewal dates are missing or wrong in the CRM, automation amplifies the error.

A practical example

Example: 90 days before a subscription expires, the system creates a renewal opportunity, assigns it to the account owner, sends a reminder sequence and flags accounts with no activity at 30 days for manager review.

  • Verify the tool reads renewal dates from your system of record, whether CRM fields or billing data, and how it handles multi-year or evergreen terms.
  • Check whether renewal opportunities are created automatically with correct values, or require manual setup per account.
  • Ask how escalations work when an owner ignores reminders, and whether the sequence is configurable per segment or contract size.

Limitations and tradeoffs

Automation assumes your dates are right: a single mis-entered term can trigger a renewal campaign a year early or late, so audit date fields and add a human checkpoint before customer-facing messages go out.
