Follow-Up Automation

Follow-up automation triggers reminders, emails, or tasks automatically when a prospect or deal goes quiet, based on rules such as time since last touch, stage changes, or lack of reply.

It differs from full nurture programs because it usually reacts to inactivity or specific events rather than running a fixed content schedule.

A practical example

Example: if a qualified opportunity receives no reply within five business days, the CRM creates a task for the account owner, drafts a nudge email, and notifies the manager if another three days pass.

What to evaluate before investing

  • Confirm triggers can combine time delays, inactivity detection, and stage or field changes.
  • Check whether automated emails can be paused when a human replies, to avoid awkward double contact.
  • Review how the system handles ownership changes so follow-ups reassign cleanly.

Limitations and tradeoffs

Over-automated nudges can feel robotic and damage relationships; keep escalation paths human and cap message frequency.
