CRM Data Hygiene

CRM data hygiene is the ongoing practice of keeping contact, account, and activity records accurate, complete, deduplicated, and consistently formatted. It covers removing stale entries, standardizing fields, enforcing validation rules at entry, and merging duplicates.

Hygiene is not a one-time migration task; decay is continuous as people change roles, companies merge, and reps enter data inconsistently.

What to evaluate before investing

  • Does the tool offer automated duplicate detection and merge with configurable matching rules, not just manual search?
  • Can you enforce field validation, required fields, and normalization (phone, country, job title) at the point of entry?
  • Does it flag stale or bouncing records automatically, and can you bulk-update or archive them without exporting to spreadsheets?

Limitations and tradeoffs

Hygiene tools reduce manual cleanup but cannot fully prevent bad input; unclear ownership rules and free-text fields will still degrade data quality over time.
