Data Sync

Data sync is the continuous, bidirectional alignment of records and fields between systems — typically CRM, marketing automation and customer success tools.

A sync defines which objects are shared, which fields map to each other, which system is authoritative for each field, and how often changes propagate.

It differs from one-way integrations because updates in either system flow to the other, which prevents divergent copies of the same customer.

A practical example

Example: a company syncs contacts and deals between its CRM and marketing platform, with the CRM authoritative for deal stage and the marketing tool authoritative for email engagement, updating every 15 minutes.

What to evaluate before investing

  • Ask which objects and field types each tool supports for sync — custom objects and multi-select fields are common gaps.
  • Verify how conflicts are resolved when both systems change the same field, and whether you can set per-field authority.
  • Check sync frequency and whether failed records are retried, logged and surfaced for repair.

Limitations and tradeoffs

Bidirectional sync multiplies the impact of bad data: one malformed import can propagate everywhere. Field-level authority rules and staging environments are essential safeguards.
