Workflow Guardrails

Workflow guardrails are process-level controls on an automation, distinct from AI output filters: caps on message volume, restrictions on which audience segments may be targeted, required data conditions before an action runs, and cooldown periods between sends.

They protect the process itself, such as preventing an over-messaging incident, even when the AI content is correct.

A practical example

Example: a re-engagement workflow is capped at two touches per contact per week and blocked from targeting anyone with an open support ticket, regardless of what the AI drafts.

What to evaluate before investing

  • Check whether volume caps and frequency rules are enforced platform-wide or only per workflow; gaps cause cross-campaign overlap.
  • Ask if guardrail breaches pause the workflow automatically or just trigger an alert someone must notice.
  • Confirm guardrails can reference live data, such as CRM status or ticket state, at execution time rather than only at setup.

Limitations and tradeoffs

Strict process guardrails can block legitimate campaigns; you need a documented exception path or teams will route around them.
