Service Account

A service account is a dedicated, non-human identity that an integration uses to authenticate to another system, rather than acting under an employee's personal login.

This matters for buyers because personal accounts create fragile dependencies: when the employee leaves or changes roles, permissions change and integrations break.

A service account keeps the integration's identity, permissions, and audit trail separate from any individual.

A practical example

Example: instead of connecting your automation platform with the marketing manager's CRM login, you create a service account with a defined role, so the lead-routing integration keeps working through staff changes and its activity is attributable to the integration itself.

What to evaluate before investing

  • Ask whether the vendor documents creating service accounts for each connected system or defaults to user tokens.
  • Confirm whether service account activity is labeled distinctly in audit logs.
  • Check whether service accounts support scoped roles or only full admin access.

Limitations and tradeoffs

Service accounts can become shadow admin accounts if their permissions are never reviewed; they need the same lifecycle management, ownership, and offboarding discipline as human accounts.
