Email Automation

Email automation sends messages triggered by contact behavior, dates, or workflow position, without manual sending. Beyond the builder, the capability includes list management, suppression rules, deliverability monitoring, and personalization pulled from CRM fields.

In B2B it usually operates alongside, not instead of, sales-sent email, so the two streams must not collide in one inbox.

A practical example

Example: a known contact who has opted into marketing downloads a guide and enters a follow-up sequence. If they book a demo, the workflow stops promotional reminders and alerts the assigned salesperson.

What to evaluate before investing

  • Ask how the platform handles shared IP versus dedicated IP sending and what warm-up process it requires for new domains.
  • Verify suppression logic: bounced, unsubscribed, and role-based addresses must be excluded across every workflow automatically.
  • Check whether send-time and frequency caps are configurable per contact, to avoid overlapping sequences over-mailing the same person.

Limitations and tradeoffs

Automated volume magnifies deliverability problems; a poor sender reputation affects every campaign, so infrastructure and list hygiene matter as much as workflow design.
