Form Routing Rule

A form routing rule determines where a submitted form goes after acceptance: which CRM queue, which owner, which nurture stream or which notification.

Routing logic typically evaluates fields such as country, company size, product interest or existing account match, and differs from acceptance criteria, which decide whether the submission is processed at all.

A practical example

Example: a demo request from an existing customer routes to their account manager with a support tag, while a new prospect from Spain routes to the Iberian sales queue and a newsletter signup routes to onboarding emails.

What to evaluate before investing

  • Check whether routing evaluates data against your CRM in real time, so existing customers are recognized at submit time.
  • Confirm fallback behavior when no rule matches, including who receives unmatched leads.
  • Test routing latency: how long between submission and owner notification.

Limitations and tradeoffs

Routing rules multiply quickly and conflict; without documentation and periodic audits, leads silently land in the wrong queue and response time degrades.
