Account Workflow

An Account Workflow is an automated multi-step process that operates on the account object rather than a single contact or deal.

Typical uses: onboarding sequences after a deal closes, renewal preparation tracks that start months before the date, and signal responses such as a workflow that fires when a target account visits the pricing page.

Each workflow needs defined triggers, ordered steps with owners, and failure handling — what happens when a step is skipped or an owner does nothing.

A practical example

Example: when an account crosses a usage threshold, a workflow notifies the AE, creates a task to propose an expansion conversation, and escalates to the manager if the task sits untouched for five days.

What to evaluate before investing

  • Check whether triggers can combine account-level signals (usage, firmographics, engagement) rather than contact events only.
  • Verify steps can have different owners — AE, CS, marketing — with handoffs between them.
  • Ask what happens on failure: are skipped steps logged and escalated, or silently dropped?

Limitations and tradeoffs

Tradeoff: account-level automation touches many people at once; a badly designed step can spam an entire account team or, worse, the customer.
