Form Workflow

Form Workflow is the end-to-end lifecycle a form moves through: request, build, quality assurance, launch, and retirement, with a named owner at each stage.

It exists because forms are easy to create and hard to kill, so ungoverned teams accumulate duplicates, broken embeds, and orphaned records.

A defined workflow means no form reaches production outside the governed channel, and every live form has someone accountable for retiring it.

A practical example

A product team requests a webinar registration form.

Marketing ops assigns a builder, QA verifies tracking and routing, the form launches with a review date, and it is retired two weeks after the event with its embeds redirected.

What to evaluate before investing

  • Ask whether the platform supports form statuses or stages so requests, drafts, live forms, and retired forms are visibly distinct.
  • Check if you can assign an owner and a review or expiry date to each form, not just to the campaign around it.
  • Test what happens on retirement: can the form be closed to new submissions while its existing records and embeds remain traceable?

Limitations and tradeoffs

A workflow adds approval steps that slow urgent requests, so teams need a fast-track path or they will build forms outside the system again.
